The meeting was called to order at 12:05 p.m.
After introductions of those in attendance, the minutes of the 2001 meeting were reviewed (Attachment A) and the following motion was presented:
Motion: To approve the minutes from the SSC meeting at the 2000 Annual International Meeting in Sacramento. Seconded and passed
Results of E-Mail Voting - July 31, 2001 - July 28, 2002 There was one ballot, which was distributed by e-mail. It was to elect John Worley to serve as vice chair of the SSC for 2001 - 2003. The vote was to approve with no disapproval votes cast.
Section Officer Guides The Section Officer Guide has been revised and may be found on the ASAE Web site. All future changes should be sent to Mark Crossley at crossley@asae.org. It was agreed that this is an important resource for incoming section officers to have as a guide for their new positions and that it must be as complete as possible.
Section Grass Roots Incentive Funding Program
This program enables sections to obtain monies from the ASAE Foundation to assist with local section activities such as bringing in a section speaker or supporting administrative costs associated with a fundraiser. If the section makes a profit on the event, they would be expected to pay the money back to the Foundation. If not, the monies would be forgiven. For the remainder of 2002, there is $4,000 available for section use. Guidelines and a submittal form are now ready for promotion to sections (Attachment B) and this program will be announced to all section officers via e-mail and a future article in Resource.
Section Officer Database Access Starting shortly after the Annual International Meeting, section chairs will have access to the online ASAE database. This will enable a chair to search for all members in their section and e-mail a message to them immediately without having to go through headquarters. This should be helpful in keeping up communication with section members. It was discussed that from time to time, other section officers may need access to this service as well. Names of other section officers should be sent to Mark Crossley and he will see that they are added to the list.
Overview of Member Benefits and Services Available to Sections
An overview of all benefits and services to sections was outlined. Please see Attachment C for further details.
SSC Composition In the past, whoever attended the SSC meeting was considered to be on the SSC for the next year. It was discussed that the Committee needs more consistency from one year to the next. A suggestion was made to contact each section and give them the opportunity to appoint a representative to serve a two-year term on the SSC. This idea was met with approval from those in attendance. Mark Crossley will send an e-mail blast to all section chairs to request that they appoint such a representative.
Section Reports
Georgia: They have gone from two meetings per year to one larger, annual meeting. They have also added the opportunity to earn continuing education units (CEU) at this meeting. Quad Cities: They have posted their newsletter on the Web and provide a link to it in e-mail blasts to section members. This format has been working well for them. Kansas: The Kansas section will be hosting the Central Region meeting in the Spring which consists of Nebraska, Iowa, Missouri and Kansas. In addition, Kansas will be having their own annual meeting as well. Minnesota: The section has been offering CEU at all section meetings as well. They always try to combine some sort of tour or activity with each meeting. This has worked well for them.
With no further business before the SSC, the meeting adjourned at 1:15 p.m.
