The purpose of these awards is to recognize the student engineering branches and student mechanization branches with the most outstanding record of activities and achievements for the year. The awards are based on reports submitted. Four copies of the report are due at ASABE headquarters by March 15. The judges' score sheets cover membership, committees, meetings, attendance, programs, special activities for members, inspection trips, publications, social functions, and appearance of the report.

For each of the three judging categories - First Place: $500, AEM trophy and certificate of the award donated by the Association of Equipment Manufacturers.
Second Place: Recognition Certificate.

Association of Equipment Manufacturers (AEM) Trophies Competition

The trophies competition began in 1935. The following quotation is taken from the original announcement:

"As a special incentive to the members of the student branches of the American Society of Agricultural and Biological Engineering, the Association of Equipment Manufacturers, a national association representing the leading manufacturers of agricultural equipment in the United States, has donated a silver cup. This cup will be awarded each year to the student branch of the Society which in the opinion of the judges has the most outstanding record of activities and achievements for the year." (Agricultural Engineering, May 1935, p. 198)

Through the years, the Association has grown to include construction-related machinery, industrial as well as farm equipment, and the nature and number of awards have increased. The objectives of this competition, however, have remained the same -- to create better student branches. The Association of Equipment Manufacturers report measures quality of the various student organizations by comparing them in the seven major categories indicated on the attached score sheets. Besides the comparison with other student engineering branches or mechanization branches, participation in this competition gives each student organization a permanent record of their activities and achievements for the year, thereby allowing them a chance to appraise their own growth throughout the year.

Awards
Cash prizes, trophies and plaques donated by the Association of Equipment Manufacturers will be awarded by the Society to the student branches that have the most outstanding record of activities and achievements for the current school year in the opinion of the ASABE Committee on AEM Student Trophies. The awards will be announced and presented at the ASABE Annual International Meeting.

Eligible Student Organizations are divided into three groups:

  1. Student Mechanization Branches;
  2. Larger Student Engineering Branches (Group A) 33 or more students; and
  3. Smaller Student Engineering Branches (Group B) under 33 students.

Student branch membership is the average membership as determined in Section A-1 of the score sheet. The average membership calculated in the report will determine the class in which the report is judged.

Identical cups bearing the appropriate identification will be awarded to the winners of each classification. Recognition plaques will be awarded to the second- and third-place branches in each classification.

Eligibility
Any student engineering branch or mechanization branch of ASABE that has supplied the ASABE headquarters office, on or before January 1, with a roster of its members for the school year, including the names of its officers, and otherwise given evidence that it is active, is eligible to compete for the AEM Trophies. Requests for exceptions to this rule must be made in writing to the Awards Coordinator.

AEM Trophies Competition Procedure
The basis for determining the placing in the AEM Trophies Competition is the report required of each student engineering or mechanization branch entering the competition. Following are copies of the score sheets used by the committee in rating the reports. It is important that the preparation of each report be in accord with the outline on the score sheet, and that the following points be observed:

  1. four (4) copies of the report must be received by March 15, to: Awards Coordinator, ASABE, 2950 Niles Road, St. Joseph, MI 49085-9659 USA. Copies of each report will not be returned to the student organization submitting it unless specifically requested by the organization at the time of submission. Refer to number 8 concerning formats allowed for submission.
  2. Report on activities and events occurring during only one calendar year period (January - December); those in which your organization participates after that date may be included in your report for the following year. Note: Reporting period for 2005 competition only is March 1, 2004 - Dec. 31, 2004.
  3. Any Group B student engineering branch, by special request to the committee made through the ASABE Awards Coordinator, may be allowed to enter Group A student engineering branch competition.
  4. Complete information should be given on each item listed on the score sheet. If there has been no activity under a particular item be sure to so indicate. (Organizations frequently fail to supply the complete information requested; it is better to indicate "no activity" than to overlook or ignore an item completely).
  5. Submit the information requested on the score sheet in precisely the order in which it is listed. (Failure to follow this order makes scoring of the reports much more difficult, so it is to the advantage of each organization to comply faithfully with this request).
  6. The same material should not be included under two or more headings; it is essential that it be carefully organized and inserted under the proper heading. Do not include extraneous material; poundage does not always evidence a good report.
  7. Wherever possible to obtain them, it is desirable to illustrate reports with photographs, newspaper clippings, programs, copies of publications, etc., being sure to provide four sets of such material. Also, underscore all clippings to indicate clearly the particular portion thereof to which you desire to draw the committee's attention.
  8. Four copies of the report should be submitted on 8-1/2-by-11-inch paper in a protective folder, or as a pdf or html file burned on four CD's. Web site entries are allowed but must also be burned to 4 CD's as html files and appropriate archival methods should be established so the record of the year's events is not lost.
  9. Address correspondence and questions relating to the competition for the AEM Award to the Awards Coordinator, ASABE, 2950 Niles Road, St. Joseph, Michigan 49085-9659 USA.
  10. It is suggested that a table of contents and page numbers are incorporated in the report.
